The Growing Business IT Checklist: From 5 to 50 Staff

IT decisions rarely fail the moment you outgrow them - they fail quietly, months later, once the shortcut that worked at five staff has been carrying twenty for a year. There's no single day your business "needs better IT." Instead there are thresholds, and most Perth businesses cross several of them without noticing. Here's what to check at each stage.

Why Headcount Is the Right Trigger to Check IT Against

Calendar-based reviews (like an EOFY IT checklist) are useful, but they miss the thing that actually breaks IT setups: growth. A shared password spreadsheet, one office Wi-Fi router, and a single person who "handles computers" are all completely reasonable at five staff. None of them are reasonable at twenty-five. Reviewing IT against headcount, not the calendar, catches the gap while it's still cheap to fix.

1-5 Staff: Get the Foundations Right

This is the stage covered in detail in our IT setup guide for new Perth businesses. The short version:

  • Business-grade email and file storage - Microsoft 365 or Google Workspace, not personal Gmail accounts being used for client work.
  • A password manager shared across the team, replacing sticky notes or a spreadsheet.
  • MFA turned on everywhere it's offered - email and any financial or client system, at minimum. See our MFA setup guide.
  • Automated cloud backup for anything that would hurt to lose - not "someone remembers to copy it to a USB drive."

Get this right now and most of it just scales; get it wrong and every stage after this involves unwinding bad habits under time pressure.

5-15 Staff: The Ad-Hoc Approach Starts Costing Time

This is usually where the first real cracks appear - not catastrophic failures, just enough friction to notice.

  • A real network, not a home router. Consumer routers weren't built for 10+ concurrent devices, VoIP calls, and video meetings at once. This is the point to plan proper network security and, if you're moving into a new space, get a Wi-Fi site survey done rather than guessing where access points go.
  • Structured onboarding and offboarding. At five staff, everyone remembers who has access to what. At twelve, they don't. Put a repeatable process in place using our IT onboarding checklist and offboarding checklist.
  • Someone accountable for IT who isn't "whoever's best with computers." This doesn't have to mean a managed IT provider yet, but it does mean a defined point of responsibility, not an informal arrangement that falls apart when that person is on leave.
  • EDR instead of basic antivirus. Once you're holding meaningfully more client or financial data, the gap between the two starts to matter. See our EDR vs antivirus guide.

15-30 Staff: This Is Usually the Breaking Point

Most Perth businesses we talk to hit real, visible IT pain somewhere in this range - not because anything dramatic went wrong, but because informal arrangements simply run out of runway.

  • Managed IT support becomes worth the cost. If IT issues are eating a meaningful chunk of someone's week who has an actual job to do, it's time. Our guide on signs your business needs managed IT covers the specific tells.
  • Device management (MDM/Intune) so laptops are configured consistently, encrypted, and can be remotely wiped if lost or stolen - not each set up slightly differently by whoever unboxed it.
  • A documented IT budget rather than reactive spending whenever something breaks. See our IT budget guide.
  • Proper structured cabling if you haven't already - patchwork Wi-Fi extensions and daisy-chained switches show their limits here. Our network cabling checklist covers what a proper setup looks like.
  • Cyber insurance becomes genuinely relevant, and insurers will start asking questions about the controls above. See our cyber insurance guide.

30-50+ Staff: Move From Reactive to Strategic

Past this point, IT stops being a support function and starts being something that needs a plan behind it.

  • An IT roadmap tying technology decisions to where the business is actually heading over the next 12-24 months, not just fixing what's currently broken. See our IT roadmap guide.
  • Strategic oversight (a vCIO) - someone who sits above day-to-day support and makes sure IT spend lines up with business priorities. Our guide on what a vCIO actually does explains when this becomes worthwhile.
  • Formal security posture - this is often when compliance frameworks like the Essential Eight start being asked about by clients, insurers, or tender requirements, rather than being optional.
  • Redundancy, not just backup. A single internet connection or a single person who knows how a system works both become unacceptable single points of failure at this size.

How to Use This Checklist

Find your current headcount above, and check every item from that stage and every stage before it. It's common for a 25-person business to still be missing something from the "1-5 staff" list, simply because nobody circled back once the business had grown past it. That's the gap worth closing first - it's usually the cheapest fix and the highest risk.

Frequently Asked Questions

Do we really need to change IT providers as we grow, or can our current setup just scale?

Not necessarily a new provider, but the setup itself usually does need to change. A consumer-grade router and ad-hoc password sharing that worked fine for five people becomes a genuine liability at twenty. The right move is reviewing what you have against your current headcount, not waiting for something to fail first.

What's the single most common thing growing businesses miss?

Structured offboarding and access control. At five staff, everyone knows who has access to what. At twenty-five, nobody does - and former staff, old contractors, and unused logins quietly accumulate as a security risk nobody's tracking.

When should we bring in a managed IT provider instead of handling things ourselves?

Most Perth businesses reach this point somewhere between 10 and 20 staff, when IT issues start costing more time than a founder or office manager can absorb alongside their actual job. See our guide on the signs your business needs managed IT for a more detailed breakdown.

Is this checklist only for businesses that are actively hiring right now?

No - it's just as useful as a health check for a business that's been sitting at the same headcount for a while. IT setups tend to lag behind growth by a year or two, so even a business that grew from 5 to 30 staff without ever revisiting its IT is a good candidate for this review.
